Meeting Space

At the library board’s discretion, the library’s space may be available during closed times for meetings of groups operating within the library’s service area. There will be no charge to the group for the use of the space, and no admission fee may be charged by the group.

Refreshments may be served and shall be provided by the group. No smoking or alcohol is allowed. The people using the library shall sign and comply with the attached Building Use Request Agreement. The library is not responsible for any equipment, supplies, materials, clothing, or other items brought to the library by any group or individual attending a meeting; and the library board and staff do not assume any liability for groups or individuals attending a meeting in the library.

Artwork Display and Exhibits

As an educational and cultural institution, the Raymond Village Library welcomes exhibits and displays of interest, information and enlightenment to the community. Displays of handiwork, historical material, nature study, or any other material deemed of general interest may be exhibited. The director shall accept or reject material offered for display based on its suitability and library space availability.

 

The library assumes no responsibility for the preservation or protection, and no liability for possible damage or theft, of any item displayed or exhibited. All items placed in the library are there at the owner's risk, and a display agreement (sample attached) is required.

 

Bulletin Boards and Notices

Bulletin board space is available in the library foyer to organizations in the library’s service area who are engaged in non-commercial, educational, cultural, intellectual, or charitable activities.

Postings should publicize a specific event, as limited space generally allows only short-term notices. The director must approve all postings and may prohibit postings that do not meet library standards. Library staff will place and remove postings promptly.

Each item posted must be dated and signed. A request for return of items, along with name and telephone number of person to be contacted, should be printed on the back of each article. Unless such arrangements are specified, items must be picked up on the next day the library is open, if the owners want them returned. Otherwise, the library will not be responsible for returning materials.

The Raymond Village Library and the Artist agree that:

The Artist’s work will be displayed inside the Raymond Village Library and will include the Artist’s name. Accompanying labels, not to exceed two (2) inches by three (3) inches, may include the work’s title, medium and price.

The Artist will be responsible for the display (hanging or whatever) and for the removal of his/her work in the areas designated by the Raymond Village Library. The Artist shall be responsible for any damage done to Raymond Village Library resulting from the display of their work.

By permitting the Artist’s work to be displayed in its building, the Raymond Village Library will not be considered to be acting in the capacity of an agent for the sale of such work.

The Artist’s work will be on display at the Raymond Village Library for the period _____________________through_____________________.

In the event the Artist wishes to remove his/her work prior to the termination of the above stated period, he/she will give the Raymond Village Library one (1) week’s notice prior to the date of such removal.

The Raymond Village Library reserves the right to reject any and all work submitted for display by the Artist and to request the removal of the Artist’s displayed work at any time.

The Artist will be responsible for claiming his/her work within one (1) week after notification from the Raymond Village Library. The Raymond Village Library will not be responsible for the storage of any work not claimed by the artist.

The Raymond Village Library will not be held responsible for any damage to or theft of the Artist’s work.

II. INSURANCE INFORMATION:

The user will be required, when deemed necessary, to provide proof of insurance upon terms satisfactory to the Library.

A Certificate of Insurance, with proper limits of liability, shall be submitted as evidence of insurance coverage at least three (3) days in advance of the event and must designate both the using organization and the Library as insured. The absence of such a certificate will preclude use of the facility.

III. RULES GOVERNING USE OF FACILITIES BY COMMUNITY GROUPS:

A. There must always be a staff member or other designated library official on duty.

B. There shall be no smoking in the building.

C. There shall be no alcoholic liquors or beverages brought to or consumed in the building or on the grounds.

D. The activity shall not extend beyond the hours approved in the request and shall be restricted to that area for which permission is granted.

E. The supervisor in charge of the activity shall be present before the activity is due to start and remain with the group until all have left. This supervisor is responsible for the preservation of order.

F. The right to revoke permission to use any facility or equipment at any time is reserved by the Library.

G. It is the responsibility of the user to set up for, and clean up after, the meeting, and to leave the Library in the condition they found it.

H. If refreshments are to be served, it is the responsibility of the group to supply all of its needs and to clean up.

I. Any facility or equipment used by the user will be examined carefully after use, and the user is responsible for and agrees to make good promptly any loss or damage occurring during the use of the facility or equipment.

J. THE RAYMOND VILLAGE LIBRARY DOES NOT ACCEPT RESPONSIBILITY FOR ANY INJURIES OR DAMAGES CAUSED BY THE USE OF THE FACILITY, AND THE USER IS RESPONSIBLE FOR ANY INJURIES SUSTAINED OR DAMAGES CAUSED BY SAID USE.

I agree on behalf of the above indicated organization that all members and guests will observe the above regulations and that we, individually and as an organization, will assume full financial responsibility for any and all damages done to the Raymond Village Library’s property during the above indicated period of use. We also agree that our organization will at all time hereafter indemnify the Library against loss, damage or expense of any kind, which said library may sustain or incur because of use of the above described building by our organization, and we will further hold said library harmless for loss of any kind in connection therewith.
